Collection Development


In addition to county records, other items of archival value which may be considered and collected by the Hamblen County Archives include local historical materials/records from organizations, institutions, companies, churches, individuals, and families which have a long lasting value. Other resources of interest include state and national history and genealogy materials, genealogy reference guides, Native American, African American, Melungeon, war/military, etc.

Collections are obtained through donation, transfer, and/or purchase.

The Hamblen County Archives reserves the right to decline any collection for reasons including, but not limited to, the following:

  • Inability of the Archives to house, store, and provide staffing sufficient to ensure that the collection will be properly preserved into the foreseeable future.
  • The collection contains materials that do not fit within the scope of the Archives' collection development policies.
  • The collection shows signs of irreparable damage caused by insects, mold, or other means.
  • There are unresolved questions regarding the ownership of the collection.
  • The collection is already available in the Archives.
  • The donor wishes to place permanent restrictions on the collection which prevents public access. (Private donors have the right to impose reasonable restrictions upon their collections to protect privacy or confidentiality for a reasonable period of time.)

CASH DONATIONS:
All cash donations are gladly accepted. Cash donations are deposited into the Reserve Account and will be used to purchase archival/genealogical supplies and resources, unless specified otherwise. An acknowledgement will be sent to donors with each donation of $20.00 or more.

BOOKS AND OTHER MATERIALS:
The Hamblen County Archives generally accepts donations of books, periodicals, ledgers, maps, pictures, memoirs, microfilm and other items pertaining to local genealogy and history. Exceptions may apply per the Collection Development Policy.
  • Once a collection has been offered to the Archives and the offer has been accepted by the Archives, then a donor agreement will need to be signed by both parties. Donated items become the property of the Hamblen County Archives.
  • An acknowledgement will be sent to the donor(s).
  • When appropriate, a book plate will be attached to the donated items. It will bear the name of the donor.

MEMORIAL GIFTS:
Individuals may wish to make donations to the Hamblen County Archives in memory or honor of a friend or relative. The Archives appreciates such thoughtfulness. Such gifts are acknowledged:
  • Designated family or friends of the person being honored or remembered will be notified regarding the donation.
  • An acknowledgement will be sent to the donor(s).
  • When appropriate, a book plate will be attached to the donated item(s) which will bear the name of both the donor and the honoree.
